Job Summary
The City of Miramar is seeking a Passport Acceptance Agent to join its team on a part-time basis. In this role, you will handle administrative and clerical responsibilities related to processing passport applications, ensuring compliance with U.S. Department of State procedures. You will also provide general support to the City Clerk’s Office.
This is a customer-facing role that requires excellent communication skills and attention to detail, with a focus on accuracy and protecting applicants’ personal information.
Key Responsibilities
- Passport Processing:
- Guide applicants through the passport application process in person and over the phone.
- Verify accuracy and completeness of applications, ensuring all legal documentation is correct.
- Administer oaths, witness signatures, and validate applicant photos against ID documentation.
- Take passport photos per State Department standards.
- Data and Fee Management:
- Securely handle and process fees for passport services.
- Maintain accurate logs and enter data into the system.
- Scheduling and Communication:
- Confirm, reschedule, and schedule applicant appointments.
- Interact professionally with applicants, colleagues, and other government entities.
- Clerical Support:
- Perform general office duties such as copying, filing, typing forms, and managing mail.
- Distribute notices and maintain supplies in the office.
- Fraud Prevention:
- Ensure secure handling of documents and personal information.
- Testify in court if required in cases of suspected fraud.
Qualifications
Minimum Requirements:
- Education: High school diploma or GED equivalent.
- Experience: Previous experience in clerical or customer service roles.
- Skills:
- Strong customer service abilities.
- Proficiency with office equipment such as computers, printers, and copiers.
- Ability to communicate professionally in person, in writing, and over the phone.
- Availability: Must be able to work a flexible schedule.
Preferred Qualifications:
- Bilingual: Fluency in Spanish or Creole is a plus.

- Knowledge of customer service principles and general office practices.
- Skill in operating standard office equipment.

Work Environment and Physical Demands

Emergency Management Responsibilities
All employees of the City of Miramar are designated as emergency service workers. In the event of a disaster, such as a hurricane or other emergency, employees may be required to work and perform emergency duties as assigned.
Compensation and Benefits
